Round Up For Charity

Summary

You can configure Polygon POS to round a sale to the nearest whole dollar to support efforts to collect for charitable endeavours and organisations – “Would you like to Round Up for Charity?” 



Prerequisites

To utilise Round Up For Charity with a Polygon POS installation the following versions are required.

Polygon POS Management: 2406.28.1 or later 
Polygon POS Terminal: 2406.28.1 or later



Program the Surcharge Button

A Surcharge Amount button is programmed for the POS using the Round to nearest $ mode.
This function is most commonly used for the collection of Charitable Donations and therefore the selection of a liability ledger account is allowed.  Should a liability account be selected for reporting these funds, GST will not be applied to the amount of the surcharge and will be reported as GST - Not Applicable.  The surcharges will not be included in Gross Sales calculations.

When applied, this surcharge will add the required amount to round the total of the sale UP to the nearest whole dollar.

The round-up value range is $0.01 to $1.00.

eg:

On a sale of $15.99, a surcharge of $0.01 will be applied to take the sale total to $16.00.
On a sale of $15.45, a surcharge of $0.55 will be applied to take the sale total to $16.00.
On a sale of $15.00, a surcharge of $1.00 will be applied to take the sale total to $16.00.

Now Automate It

To make the campaign as effective as possible, you should now automate a prompt for the staff at the POS – this way, every customer is invited to participate.

To do this:

  • Access the Default Location System Settings (or POS Location System Settings as appropriate).
  • Navigate to POS Terminal Settings | Sale Settlement 
  • In the Round Up For Charity section
    - ensure the Enable prompt at sale settlement setting is ON
    - enter the text you want to be included on the prompt in the Custom Prompt field.

Reporting Options

Instances of the donations will be reported separately on the POS Z-Read under the Discounts/Surcharges Breakdown section.

They will be listed when the reset is loaded into Polygon POS Management against the relevant liability account.

They will also be reported in the Sales by PLU Class reports under the System class.

If you are licensed for Polygon Accounting, reporting will also be available directly from the Liability Ledger Account Transactions.

Deployment at POS

You can check the programmed configuration of Round Up For Charity at the POS terminal.

To do this:

  • Access the System Settings button on the toolbar and enter your password
  • Navigate to Application Settings | Sale Settlement.
  • Check the Round Up For Charity section.

Applying the Round Up at POS

You can round up a customer's order at the POS in two ways:

  • Manually use the Round Up For Charity button programmed on the product keypad.
  • Choose Yes at the automated prompt.

Considerations

The following rules apply when using the automated Round Up For Charity prompt.

  • the user will be prompted to ask the customer if they want to Round Up For Charity as the sale is finalised either using a Fast Finaliser button or using the Pay window.
  • the automated prompt will not be displayed if a 'round to the nearest $' surcharge is already in the sale (has been applied manually using a keypad button).
  • if the surcharge is applied when the user moves to the Pay window but then cancels and returns to the ordering window, the surcharge will be removed.  The user will be prompted again when the sale is finalised.
